  5. What's covered in this chapter
  6.  
  7. You can convert word processor and spreadsheet files
  8. to HTML using HoTMetaL PRO. This chapter describes preparing
  9. and converting documents that have been prepared in
  10. a word processing application. Topics include:
  11.  
  12. * Converting a single file by opening it in HoTMetaL
  13. PRO Editor.
  14.  
  15. * Converting multiple files at once in HoTMetaL PRO
  16. Information Manager.
  17.  
  18. * Preparing files for conversion.
  19.  
  20. * Setting conversion options.
  21.  
  22. Existing files prepared in common word processing, spreadsheet,
  23. or text editing applications are easily converted to
  24. HTML, using the HoTMetaL PRO Editor or Information Manager.
  25.  
  26. If you selected Compact Install when you installed HoTMetaL
  27. PRO, the conversion filters were not installed. 
  28.  
  29. In this case, the Information Manager commands Convert
  30. Documents... and Document Conversion Options... will
  31. not be available, and the Editor Open dialog will not
  32. contain a list of word processor file extensions.
  33.  
  34.  To add the filters, run the HoTMetaL PRO installation
  35. again: 
  36.  
  37. * Run setup.exe from the hmpro4 folder on the CD.
  38.  
  39. * Choose Custom Install
  40.  
  41. * Add filters for the formats you wish to convert.

  43. 2.1. Converting existing files
  44.  
  45. The Information Manager `Convert Documents...' functionality
  46. is available in HoTMetaL PRO 4.0, but not in the Evaluation
  47. Version that you are now using. Choose `How To Purchase'
  48. in the Help menu for ordering information.
  49.  
  50. You can use Open... in the File menu in HoTMetaL PRO
  51. Editor to open a word processor, spreadsheet, or text
  52. file in HoTMetaL PRO. You can also convert multiple
  53. files using Convert Documents... in the Tools menu in
  54. HoTMetaL PRO Information Manager. HoTMetaL PRO uses
  55. built-in filters to automatically convert each file
  56. to HTML as it opens them. Each block of text is converted
  57. to the appropriate element: paragraphs are converted
  58. to P elements, headings to H1-H6, numbered lists to
  59. OL, unnumbered lists to UL, tables and spreadsheet information
  60. to HTML tables, etc.

  62. 2.1.1. Supported formats
  63.  
  64. All of the formats listed in this section are supported
  65. in HoTMetaL PRO 4.0; the Evaluation Version that you
  66. are now using supports only plain text and RTF conversion.
  67. Choose `How To Purchase' in the Help menu for ordering
  68. information.

  70. By default, HoTMetaL PRO will convert documents from
  71. the following formats:
  72.  
  73. * plain text (text that is not marked up in HTML)
  74.  
  75. * AMI Pro (1.1, 2.0, 3.0)
  76.  
  77. * MS Word for PC (2.0, 3.0, 4.0, 5.0, 5.5)
  78.  
  79. * MS Word for Windows (2.0, 6.0, 7.0., Word 97)
  80.  
  81. * RTF
  82.  
  83. * WordPerfect for DOS/Windows (4.2, 5.0, 5.1, 5.2, 6.0,
  84. 6.1, 7.0)
  85.  
  86. * MS Works for Windows (3.0, 4.0)
  87.  
  88. If you chose Custom Install when you installed HoTMetaL
  89. PRO, any additional conversion formats you selected
  90. at that time will also be supported. If you did not
  91. install these additional filters and wish to do so,
  92. do the following:
  93.  
  94. * Start the installation program again and choose Custom
  95. Install on the Setup Type installation panel.
  96.  
  97. * On the Select Components panel, choose Other Formats
  98. from the components list.
  99.  
  100. If you do not want to completely reinstall HoTMetaL
  101. PRO; deselect all of the other product components.
  102.  
  103. The following additional formats are available from
  104. the custom installation:

  128. If you try to open a file that is not in one of the
  129. supported formats, an error message will appear and
  130. the file will not open. However, you may be able to
  131. open the file in another application and save it in
  132. a format that is supported.

  134. 2.1.2. Converting documents with graphics
  135.  
  136. If a document contains a graphic in one of the supported
  137. graphics formats, it will be converted to GIF format
  138. and saved in a separate file. An IMG element whose URL
  139. contains the full path to the GIF will be placed in
  140. the converted document. HoTMetaL PRO will convert graphics
  141. from the following formats:
  142.  
  143. * BMP
  144.  
  145. * GIF
  146.  
  147. * JPEG (JFIF)
  148.  
  149. * MacPaint
  150.  
  151. * PCX
  152.  
  153. * TIFF
  154.  
  155. In addition, HoTMetaL PRO can convert the raster, or
  156. bitmap-oriented, portions of the following complex graphic
  157. types: EPS, PICT, RTF, SDW (AMI Draw), WMF, and WPG
  158. (WordPerfect Graphics). HoTMetaL PRO will not convert
  159. vector, or outline-oriented, graphics such as embedded
  160. pie-charts or equations from these formats.
  161.  
  162. Graphics that are linked to word processor files (rather
  163. than inserted directly into the file) will not be converted.
  164.  
  165. 2.1.3. Converting a single document
  166.  
  167. You can convert a single file simply by opening it in
  168. HoTMetaL PRO Editor. The file converts as it opens and
  169. then you can make any necessary changes.

  171. To convert a file:
  172.  
  173. * Choose Open... from the File menu, type [Ctrl+O],
  174. or click on the {Open} toolbar button. The Open dialog
  175. box appears.
  176.  
  177. * Choose the appropriate format from the File Type drop-down
  178. list.
  179.  
  180. * Select the document to be converted and click on [Open].
  181. The document is automatically converted as it opens.

  183. 2.1.4. Converting multiple documents
  184.  
  185. The functionality described in this topic is available
  186. in HoTMetaL PRO 4.0, but not in the Evaluation Version
  187. that you are now using. Choose `How To Purchase' in
  188. the Help menu for ordering information.

  190. If you have many files to be converted, you can convert
  191. them all at once in the Information Manager. You should
  192. open a single file first and make any necessary changes
  193. to optimize the conversion.
  194.  
  195. To convert multiple files:
  196.  
  197. * Choose Convert Documents... on the Tools menu.
  198.  
  199. * Select the documents to be converted and click on
  200. [Open]. The Choose Target Folder dialog box appears.
  201.  
  202. * Select the folder you wish the converted documents
  203. to be placed in, and click on [OK].
  204.  
  205. 2.2. Preparing files for conversion
  206.  
  207. Because word processor files tend to be less structured
  208. than HTML, you should expect to do some refinement of
  209. the markup in the Editor. Also, the conversion doesn't
  210. use the full HTML element set and you may wish to use
  211. richer markup.
  212.  
  213. If you have a lot of material to convert, it would be
  214. worthwhile to test the conversion process. Convert one
  215. or two files and have a look at the results. You may
  216. find that manipulating the styles in your word processor
  217. first gives better results. For example, if your headings
  218. are the same point size as your paragraphs, but bold,
  219. the conversion process may have trouble recognizing
  220. them. If you set the font sizes for each heading to
  221. be much larger that lower level headings, the conversion
  222. program will provide better results.

  224. The conversion program uses various guidelines to decide
  225. how to handle text. You can configure how HoTMetaL PRO
  226. converts paragraphs, blockquotes, and headings.
  227.  
  228. 2.3. Setting conversion options
  229.  
  230. You can configure the file conversion settings used
  231. when you open a word processor file in HoTMetaL PRO.
  232. In general, HoTMetaL PRO uses length (in characters),
  233. font size, and font style to distinguish paragraphs
  234. from headings.
  235.  
  236. By default, HoTMetaL PRO regards paragraphs in an emphasized
  237. (bold, italic, or bold-italic) font style as possible
  238. headings. Unless you specify otherwise, the first emphasized
  239. paragraph in the document with a length less than, or
  240. equal to, the maximum heading length will be surrounded
  241. with the H1 element. Any subsequent paragraphs with
  242. the same font and font style as the first H1 will also
  243. be converted to H1. This pattern is then followed for
  244. the other heading levels.

  246. To set document conversion options:
  247.  
  248. * Open the HoTMetaL PRO Information Manager.
  249.  
  250. * Choose Document Conversion Options... from the Tools
  251. menu.
  252.  
  253. The following settings are available:
  254.  
  255. * Use lists - If you want HoTMetaL PRO to look for list
  256. items, turn on this check box.
  257.  
  258. * Minimum number of list items - Specify the number
  259. (between 1 and 4) of one-line paragraphs required to
  260. be considered a list.
  261.  
  262. * Use blockquotes - If you want HoTMetaL PRO to look
  263. for blockquotes, turn on this check box. HoTMetaL PRO
  264. will surround a paragraph with a BLOCKQUOTE element
  265. if its length is greater than or equal to the minimum
  266. blockquote length, it is not in an emphasized font style,
  267. it ends with a `return' character but does not contain
  268. any other return characters, and it contains start and
  269. end quotation marks. The acceptable quotation characters
  270. are straight double quotes, opening and closing double
  271. quotes, European quotes (double-angled brackets), and
  272. smart quotes.
  273.  
  274. * Minimum blockquote length - HoTMetaL PRO considers
  275. only paragraphs that have the specified number of characters
  276. (or less) to be blockquotes. This helps avoid ordinary
  277. lines of text being interpreted as quotes. The possible
  278. values for this setting are 5 to 32767 characters, inclusive.
  279.  
  280. * Allow headings in tables - If you want HoTMetaL PRO
  281. to look for headings in tables, turn on this check box.
  282.  
  283. * Maximum heading length - HoTMetaL PRO considers only
  284. paragraphs that have the specified number of characters
  285. (or less) to be headings. This helps avoid ordinary
  286. lines of text being interpreted as headings. The possible
  287. values for this setting are 5 to 32767 characters, inclusive.
  288.  
  289. * Heading 1 to Heading 6 font size - Specify the font
  290. size that you want HoTMetaL PRO to recognize as each
  291. level of heading.
  292.  
  293. *  Bullet characters - The default characters that HoTMetaL
  294. PRO recognizes as the start of a bullet item are `-',
  295. `*', and `.'. Add any additional characters that have
  296. been used as bullets in your document.
